Glossary
This page defines the key terms used throughout the Rectrix Link documentation. If you encounter an unfamiliar word while reading any guide, look it up here.
Job
A Job represents a guest's complete trip — from the moment they arrive until they depart. A single job can contain multiple legs of travel (called Transfers), accommodation (Stays), and flights. Travel agents create jobs, contractors fulfil them, and drivers execute the individual transfers within each job.
Transfer
A Transfer is one point-to-point leg of travel within a job. For example, a transfer might be "Airport → Hotel" or "Hotel → Theme Park". A job typically contains several transfers spread across the trip's duration. Each transfer has its own scheduled pick-up time, pick-up location, drop-off location, and assigned driver.
Itinerary
An Itinerary is the ordered list of all activities and transfers inside a job. It functions like a day-by-day programme for the guest. Travel agents build the itinerary when creating the job; guests view it in their app as a timeline of what is happening and when.
Pax
Pax is short for passengers. Throughout Rectrix Link, pax counts are broken down into three sub-categories: Adults, Children, and Infants. Pax numbers help drivers and contractors arrange the right vehicle size and prepare for the correct number of guests at each pick-up point.
Contractor
A Contractor is a transport or tourism service company that supplies vehicles and drivers to travel agents. Contractors receive job offers from travel agents, decide whether to accept them, and then assign drivers from their own fleet to carry out each transfer. Contractors manage their fleet, billing, and job calendar through the Rectrix Link Contractor app.
Driver
A Driver is an individual employed by a contractor who physically transports guests from one location to another. Drivers receive daily job assignments, use the Rectrix Link Driver app to start and complete transfers, scan guest QR codes at pick-up, and mark destinations as complete after drop-off.
Tour Guide
A Tour Guide is similar in role to a driver but focuses on accompanying guests through attractions and experiences rather than purely transporting them. Tour guides use the same Rectrix Link Driver/Tour Guide app and follow the same pick-up, attendance, and destination workflows as drivers.
Travel Agent
A Travel Agent is the person or team responsible for planning the guest's trip. They create jobs, build itineraries, assign contractors, manage communications, and monitor job progress through the Rectrix Link Travel Agent web portal. The travel agent is the primary point of contact for both guests and contractors.
QR Check-in
QR Check-in is the process by which a driver confirms that a guest has shown up for their transfer. The guest displays a unique QR code from their Rectrix Link Guest app, and the driver scans it using the Driver app. A successful scan marks the guest as Present on the attendance list. If scanning is not possible, drivers can use manual confirmation instead.
Attendance
Attendance refers to the record of which guests were present or absent for a given transfer. After a driver completes pick-up, the attendance record shows each guest as Present, No-Show, or Pending (not yet confirmed). Travel agents and contractors can review attendance records at any time on the job detail screen.
Priority Job
A Priority Job is a transfer posted to a shared priority pool that available providers can pick up directly. Priority listings can be created by a travel agent (from the portal) or by a contractor, driver, or tour guide (via Add Listing, or by sending an existing job to the pool). Providers see available listings in their Priority tab and can Take Priority Job to claim one — once taken, a priority job cannot be cancelled.
Inbound Job Offer
An Inbound Job Offer is a transfer request sent to a contractor by a travel agent. It appears in the contractor's Inbound list (with Pending, Accepted, and Rejected tabs) and must be either accepted or rejected. Accepting an inbound offer commits the contractor to fulfilling the transfer and then assigning a driver from their fleet.
Outbound Job
An Outbound Job is a job a contractor has assigned to one of their own fleet drivers. Outbound jobs appear in the contractor's Outbound tab (with Pending, Active, Priority, and Cancelled tabs), where the contractor tracks the jobs they have dispatched to their drivers. ("Outbound" refers to work going out to your own fleet — not to other contractors.)
Stay
A Stay is a period of accommodation within a job — for example, a hotel booking for a guest's nights on the trip. Stays carry a location and check-in/check-out details and appear on the guest's itinerary alongside their transfers and flights.
Billing
Billing in Rectrix Link is the settlement of payment for completed work, handled in the app rather than as a single downloadable "report". A contractor bills a provider for completed transfers by raising a payment request (Standard Job Billings), and pays their own fleet drivers for the jobs they complete; priority jobs are settled separately (Priority Billings). Billing records move through statuses such as Pending, Paid, and Rejected, and an invoice can be exported.
No-Show
A No-Show occurs when a guest does not appear at the pick-up location within a reasonable waiting time. The driver reports this through the app, which automatically notifies the travel agent and contractor. A no-show flag appears on the transfer's attendance record. Guests who see a No-Show status on their transfer should contact their travel agent immediately.
Job Status
Every job and transfer in Rectrix Link moves through a series of statuses:
| Status | Meaning |
|---|---|
| Pending | The job or transfer has been created but the itinerary or assignment is not yet finalised. |
| Active | The job or transfer is currently in progress — the driver has started the journey. |
| Completed | The job or transfer has been fully executed and the destination marked as complete. |
| Cancelled | The job or transfer was called off before or during execution. |
Fleet
A Fleet is the collection of drivers managed by a single contractor. Contractors use the Fleet Management section of their app to add new drivers, view which drivers are active, and assign specific drivers to accepted job offers. Each driver in the fleet has their own Rectrix Link account and appears in the contractor's fleet list once their account is verified.
