4. Pick-Up Workflow
The Pick-Up screen is where you manage the start of a transfer. You travel to the pick-up location, confirm each guest's attendance, and then start the journey.
Starting the pick-up flow
- On the Home screen, tap the job card for the transfer you are about to begin.
- The Job Today Detail screen opens. Review the pick-up time and location.
- Tap Start Job at the bottom of the screen.
- If prompted for location permissions, tap Always Allow — this lets the app share your position with guests even when the screen is locked.
- The Pick Up Guests screen opens.
You may see a "Please wait while we retrieve your job…" loading message briefly when the Pick-Up screen first opens. This is normal — it means the app is fetching the latest attendee data from the server. Wait a few seconds until the guest list appears.
Reading the Pick-Up screen
At the top of the screen you will see:
- The scheduled pick-up time in large digits (e.g. 09:30)
- A status icon next to the time showing the overall job state
- An attendance summary with three pills: Total, Taken, and Pending
Below the summary is the list of guests at each pick-up location.
Confirming guest attendance — Scan QR code
For a standard transfer, each guest row has a Scan QR Code button.
- Ask the guest to open their Rectrix Link Guest app.
- Have them go to Job Detail and display the QR code on their screen.
- On your Pick-Up screen, tap Scan QR Code on that guest's row.
- Point your phone's camera at the guest's QR code until it fills the frame.
- The app reads the code and the guest is marked Taken. The button changes to Attendance Taken and the summary updates.
Repeat for each guest.
If the scan is slow, ask the guest to increase their phone's screen brightness to maximum. Low brightness is the most common cause of scan failures.
If the QR code is from the wrong job or a different app, you will see an "Invalid QR Code" error. Ask the guest to navigate to the correct Job Detail screen in their app and try again. If the job is a priority job, the button reads Mark Attendance instead and no QR scan is required.
Confirming attendance — priority jobs (Mark Attendance)
For a priority job the guest row shows a Mark Attendance button instead of the QR scanner. Tap it to confirm the guest's attendance directly — no QR code needed.
The guest 3-dot menu
Each guest row has a 3-dot menu with these options:
| Option | What it does |
|---|---|
| Override Attendance | Manually mark a guest's attendance when a QR scan is not possible (standard transfers, attendance still pending). Use this as a fallback — the QR scan gives a timestamped, tamper-proof record. |
| Report Guest No Show | Report a guest who did not appear (see below). |
| Take Photo For Guest | Take a photo attached to that guest's transfer for record-keeping. |
Filtering the attendance list
Above the guest list are three filter chips:
| Chip | Shows |
|---|---|
| All | All guests expected for this pick-up |
| Taken | Guests whose attendance has been confirmed |
| Pending | Guests not yet confirmed |
Use the Pending chip to quickly find who still needs to be checked in during a large group pick-up. When everyone has been confirmed, the screen shows "All Attendance Taken."
Taking a photo of a guest
- Open the guest's 3-dot menu and tap Take Photo For Guest.
- The camera opens. Use the shutter button to take one or more photos, the gallery button to pick from your library, and the flash/front-camera controls as needed.
- Tap Send Photos to upload them.
Starting the journey
- Once all required attendances are confirmed, tap Proceed to Destination at the bottom of the screen.
- The app transitions to the Destination & Drop-Off screen.
Reporting a no-show
If a guest does not appear at the pick-up location:
Before reporting a no-show, contact the travel agent via Chat first. Guests are sometimes running late or have had their itinerary updated without you being notified. A no-show report cannot be reversed from within the app once submitted.
- On the guest's row, open the 3-dot menu and tap Report Guest No Show.
- The Report Guest No Show screen opens with the camera. Take at least one photo documenting that you arrived at the pick-up location.
- Type any relevant remarks in the field at the bottom.
- Tap Send to submit.
Once submitted, the travel agent is notified automatically and a red indicator appears on the attendance record in all connected apps.
Navigating to the pick-up location
- On the Pick-Up screen, tap the pick-up address.
- Your device opens the default map app, or shows a chooser of the map apps installed on your phone.
- Navigation opens with the destination pre-filled.
