3. Managing Itineraries
Once an itinerary has been created, you build it out from three kinds of items: stays, transfers, and (for airport transfers) flights. Everything you add is visible to the guest.
There are no "attraction" or "food/dining" item types in the portal. An itinerary is made up of stays and transfers between them; airport transfers can additionally carry flight details.
Opening an itinerary
- Go to Itineraries in the side-nav.
- Use the Active / Cancelled filter tabs if needed.
- Click View on the itinerary you want to edit.
The itinerary detail screen shows the guest, the stays, and all transfers.
Stays
A stay is where the guest stays between transfers, defined by a location and a date range.
To add a stay you set:
- Start Date
- End Date
- Location (for example, "Marina Bay Sands")
Each stay appears on the itinerary and in the guest's view showing the full date range. Stays can be edited (via the Edit Stay Details dialog) or deleted.
Transfers
A transfer is a point-to-point movement. When adding a transfer you choose:
| Field | Description |
|---|---|
| Type | Private (PTE) or SIC (shared, seat-in-coach) |
| Category | The transfer category, drawn from your Drivers, Tour Guides & Contractors configuration — e.g. arrival, departure, disposal, city tour. The categories on offer depend on the Type you pick. |
| Pick-Up Time (24h) | For SIC this is shown as an estimate. Time-block categories (disposal, city tour) use a Start Time and End Time instead. |
| Pick Up Location / Drop Off Location | Origin and destination |
| Remarks | Separate Guest, Driver, and Tour Guide tabs |
| Ticket(s) | Attached ticket files (.jpg, .jpeg, .png, .pdf) |
| Return Time (Optional) | For non-terminal transfers |
If a transfer's pick-up time or location changes after a driver has been assigned, let them know via Chat — they may already be planning their route.
Flights (airport transfers)
For arrival and departure categories, the transfer carries a flight:
- In the Flight Number field, type a flight number (for example, "SQ318").
- Pick the matching flight from the search results.
The hint confirms whether the flight is arriving into Changi Airport (arrival) or departing from Changi Airport (departure). Flight status is reflected on the Calendar transfer card.
Assigning drivers, tour guides and contractors
Each transfer can be handled by a driver, a tour guide, or a contractor from your Drivers, Tour Guides & Contractors list. Assign them from the itinerary or the Calendar.
To change or remove an assignment on the Calendar, right-click the transfer and choose Remove Assignment — a confirmation dialog names the person and their role (Driver, Contractor, or Tour Guide). See Calendar.
Assign as early as possible — your service providers may need time to schedule a driver.
For setting up who you can assign (and their SIC pricing), see Drivers, Tour Guides & Contractors.
Guest view
Everything you add to the itinerary is shared with the guest — there is no separate publish step. The Itineraries list shows, per row, whether the guest has the latest version (for example, "Guest has the latest itinerary" vs. "Itinerary changed since last sent").
