4. Pick-Up Workflow

The Pick-Up screen is where you manage the start of a transfer. You travel to the pick-up location, confirm each guest's attendance, and then proceed to the destination.

Starting the pick-up flow

  1. On the Home screen, tap Start Job on the today's job card for the transfer you are about to begin.
  2. If prompted for location permissions, choose Always Allow — this lets the app share your position with guests even when the screen is locked.
  3. The Pick Up Guests screen opens.

note

You may see a brief "Please wait while we retrieve your job…" loading message when the Pick-Up screen first opens. This is normal — the app is fetching the latest attendee data. Wait a few seconds until the guest list appears.

Reading the Pick-Up screen

At the top of the screen you will see:

  • The scheduled pick-up time in large digits (e.g. 09:30)
  • A status icon next to the time
  • An attendance summary with three pills: Total, Taken, and Pending

Below the summary is the list of guests at each pick-up location.

  1. Ask the guest to open their Rectrix Link Guest app and display the QR code from their Job Detail screen.
  2. On your Pick-Up screen, tap Scan QR Code.
  3. Point your phone's camera at the guest's QR code until it fills the frame.
  4. The app reads the code, marks the guest Taken, and updates the attendance summary automatically.

Repeat for each guest.

tip

If the scan is slow, ask the guest to increase their phone's screen brightness to maximum. Low brightness is the most common cause of scan failures.

caution

If the QR code is from the wrong job or a different app, you will see an "Invalid QR Code" error: "Invalid QR Code, please refer to user's app or the itinerary email for the correct QR Code." Ask the guest to open the correct Job Detail screen and try again.

Confirming guest attendance — Method 2: Manual confirmation

If the guest cannot display their QR code (phone is dead, no signal, etc.):

  1. On the Pick-Up screen, find the guest's name.
  2. Tap the confirm icon next to their name to mark them attended.

For a priority job, the guest row shows a Mark Attendance button instead of a QR scan, since priority attendance is taken manually.

note

Manual confirmation should only be used as a fallback. Always try the QR scan first, as it provides a timestamped attendance record.

Filtering the attendance list

Above the guest list are three filter chips:

ChipShows
AllAll guests for this pick-up
TakenGuests whose attendance has been confirmed
PendingGuests not yet confirmed

Use the Pending chip during a large group pick-up to focus on who still needs to be checked in. When everyone at a location is done, the screen shows "All Attendance Taken."

Taking a photo of a guest

If you need to attach a photo to a transfer (for example, for record-keeping as directed by your contractor):

  1. Tap the 3-dot overflow menu on the guest's row and choose Take Photo For Guest.
  2. The camera opens. Take one or more photos — captured photos appear as thumbnails you can remove individually, and you can add more from the gallery.
  3. Tap Send Photos to upload.

There is no separate "Use Photo / Retake / Done" step — you simply capture the photos you want and tap Send Photos.

Proceeding to the destination

  1. Once all required attendances are confirmed, tap Proceed To Destination at the bottom of the screen.
  2. The app opens the Destination & Drop-Off screen for the current group.

Reporting a no-show

If a guest does not appear at the pick-up location:

warning

Before reporting a no-show, contact the travel agent via Chat first. Guests are sometimes running late or have had their itinerary updated without you being notified.

  1. Tap the 3-dot overflow menu on the guest's row and choose Report Guest No Show.
  2. The Report Guest No Show screen opens and the camera opens automatically.
  3. Take at least one photo to document that you arrived — the app blocks submission with "At least one image is required!" if you have none. You can add more photos, switch cameras, toggle the flash, or pick from your gallery.
  4. Optionally type remarks in the field at the bottom.
  5. Tap the send icon to submit. There is no time field to fill in.

Once submitted, the travel agent and contractor are notified automatically.

  1. On the Pick-Up screen, tap the pick-up address.
  2. Your default map app opens with the destination pre-filled. If you have not set a default, a chooser of the map apps installed on your phone appears — pick one, and you can save it as your default.

You can change the default map app any time in App Settings → Security & Privacy → Map.
